Rocklands Terms and Conditions

Booking and Payments

Payment: A credit /debit card is required at the time of booking to secure your reservation. All bookings must be secured with a non -refundable deposit of 50% per lodge. If payment is made by Paypal the full amount is due at the time of booking.   The balance for the reservation is due 7 days prior to your stay.

Contract Formation: When you make a booking and we have received the required deposit or taken a debit card number to secure the booking, a legally binding contract exists between us that is non-cancellable and non-refundable except in exceptional circumstances.

Liability for Payment: You may still remain liable to pay in full or in part for the booking, even if you are unable to take your holiday. Even where you have not paid in full at the time of cancellation, you will remain liable for the full cost.

Cancellation: If you need to cancel, it is important to inform us at the first opportunity so we may attempt to re-let your room and minimize your loss. You should take out cancellation insurance to protect against possible loss.

  • Up to 7 days before the due date: You will lose your deposit.

  • Less than 7 days' notice: You will be liable for the full amount.

  • No-shows: You may be responsible for the entire cost of the booking. No refunds are given for curtailment of stay.

Special Booking Conditions

  • Christmas and New Year Bookings:  The full balance of the booking is due 30 days prior to your arrival.

  • Group bookings: Where the total is more than £2000, full payment must be made 14 days prior to your arrival.

  • Resale Prohibition: You may not advertise, use, or re-sell your holiday for profit or in connection with a business or any other venture

Vouchers and Security Deposits

  • Vouchers: If you have booked with a voucher, a credit/debit card number will be taken on your arrival to insure against any breakages, theft, or damage to the property during your stay

Responsibilities and Conduct

  • Agreement Binding: This Agreement binds you and all members of your party (including day visitors). It is your responsibility to ensure that each member of your party is aware of and accepts the whole of this Agreement and the obligations contained in it. It is effective from the date our agreement is made and lasts until you and your party leave Rocklands Lodges.

  • Misconduct: We may ask you and/or members of your party to leave immediately if your conduct is considered by us to infringe our rules or is likely to impair the enjoyment, comfort, or safety of other guests and/or staff. No refunds will be given in these circumstances.

  • Damage Liability: We have the right to recover from you the cost resulting from any damage to our property or that of our other guests together with any compensation we may pay to other guests as a result of the actions of you or any members of your party. Should this damage come to light after the guest has departed, we reserve the right to make a charge to the guest’s credit/debit card or send an invoice for the amount to the registered address.

Care of the Property

  • Care Requirements: The Guest shall take all reasonable and proper care of the property and its furniture, pictures, fittings, and effects in or on the property and leave them in the same state of repair and condition, and in the same clean and tidy condition at the end of the rental period as at the beginning. The Guest shall abide by all instructions with regard to the use of the property and its fixtures and fittings. We have the right to charge guests for excess cleaning if the lodge is found not to be in a clean and tidy condition.

Large Group Bookings

  • Single-Sex Parties: We no longer accept single-sex parties (more than 4 people) at the weekend. Such bookings will not be accepted on arrival, and guests will be liable for the cost. This policy is to maintain a pleasant atmosphere for all guests.

  • Prohibited Bookings: We discourage rowdy and abusive behavior and no longer accept bookings for stag and hen parties, or 21st/18th birthday parties.

Parking and Personal Belongings

  • Vehicle Liability: All vehicles must be parked in allocated spaces and are parked at your own risk. We accept no liability for damage to vehicles.

  • Personal Belongings: Your belongings are your responsibility during your stay. This applies to all members of your party. We accept no liability for any accident, loss, or damage to your property.

Lodge Access and Maintenance

  • Right of Entry: We reserve the right to enter your lodge at any time for reasonable purposes, such as checks, maintenance, or repairs.

Children's Play Area

  • Usage Restrictions: The children's climbing frame, swings, and slide are for children under 14 only. We take no responsibility for accidents occurring while using the play equipment. Children must be supervised by an adult at all times.

  • Damage: We reserve the right to refuse entry to the play equipment if misused and may charge for any damage.

Left Items

  • Item Retrieval: Contact us promptly to arrange the return of left items. Full payment for postage and packing is required before dispatch.

  • Unclaimed Items: Items not claimed within 14 days may be donated to charity or disposed of responsibly. We will make reasonable efforts to contact you before the 14-day period expires.

Cancellation by Rocklands Lodges

  • Unavailability: If your accommodation is unavailable due to reasons beyond our control, we will offer alternative accommodation or a refund. Our liability is limited to the amount paid by you.

Smoking Policy

  • Non-Smoking: All the lodges are strictly NON SMOKING We understand that this is inconvenient but If any evidence of smoking has been found in your lodge on departure (even leaning out of an open window does not stop the smell from contaminating the lodge for the next guest) The customer who made the booking will be liable for the extra cleaning involved and £50 will be immediately taken from the card used to make the booking. By smoking in the lodge you are causing damage and thus authorising you to charge your card.

Dogs & Pets

  • Pet Policy: A supplement of £25 per pet applies. Pets must be kept off furniture and beds and not left unattended. Heavy cleaning charges may apply. Pet waste must be disposed of in outdoor bins.

Data Protection

  • GDPR Compliance: We comply with GDPR and prioritize privacy and confidentiality. For details, see our Privacy Statement.

Liability

  • Exclusions: Our liability is limited except for any matter for which it would be illegal or unlawful to exclude, or attempt to exclude, our liability; or our liability for death or personal injury caused by negligence or fraud.

  • Force Majeure: We are relieved from liability for any delay to, or cancellation of, your holiday and for anything which adversely affects your holiday (including the closure of any location before or during your holiday) which occur due to events outside of our control (i.e. that we could not, even with due care, have foreseen or avoided). Such circumstances include:

​

  • Acts of God, adverse weather (floods, droughts), fire, or other natural disasters;

  • Epidemic or pandemic, including Covid-19 or any disease caused by a new strain of coronavirus, or significant risks to human health such as the outbreak of serious disease;

  • Terrorist attack or activity, war, civil war, civil unrest, threat of or preparation for war;

  • Any act, law, or action taken by, or any guidance issued by, a government or other national or local public authority, public health authority, or other national or local authority including port or river authorities; and

  • Nuclear, chemical, or biological contamination or sonic boom.

We will, to the extent we are able, endeavor to manage any problems caused as a result of such an event but shall not be liable to you for any losses caused by such an event. Where we have canceled your holiday prior to its commencement as a result of such an event, we will offer you the choice of a full refund of all monies paid to us, the option of re-booking your holiday at a comparable standard (with you paying any additional cost or receiving a refund in respect to the price difference), or a voucher equal to monies paid for a future stay. We will contact you and will let you know of any such event as soon as we can and will ask you to confirm which offer you would like to accept. Please note that any refunds due can only be made by the original payment method.

  • Foreseeable Losses: Subject to the matters detailed above, if we fail to comply with these Terms, we are responsible for any loss or damage that you suffer as a result of our breach of these Terms or our negligence if such loss or damage is foreseeable. We are not responsible for any indirect or consequential loss. Loss or damage is foreseeable if it was an obvious consequence of our breach or if it was contemplated by you and us at the time we entered into the Contract. This excludes:

  • Loss of anticipated savings; and

  • Loss of data or information.

​

Private Use Only: We provide use of the cabins for domestic and private use. You agree not to use the cabins for any commercial, business, or resale purposes. Therefore, we are not responsible for any of the following losses:

  • Loss of income or revenue;

  • Loss of contracts;

  • Loss of business or business opportunity;

  • Loss of or damage to goodwill;

  • Business interruption; or

  • Loss of profits.

Maximum Liability: Subject to the matters detailed above, our maximum liability to you for all claims arising out of your booking shall be no more than the amount paid by you for the holiday, less any cancellation, insurance, amendment, or other separate charges.

Forest Environment: As our locations are set in a forest environment, we cannot accept responsibility for any damage, injury, or inconvenience caused by plants or wildlife.

Third-Party Products and Services: Reference to any products, services, or other information belonging to third parties does not imply or constitute an endorsement, sponsorship, or recommendation by us. Links to other services not operated by us are provided solely for your convenience. We are not responsible for any products, services, or other information provided by third parties.

​

Personal Possessions: We are not liable for damage to or theft of your personal possessions. Ensure you have adequate cover under your existing home contents, travel, or any other applicable insurance policy for the length of your stay, especially for valuable items such as phones, cameras, bikes, jewelry, etc., as well as for cancellation and accident or illness.
