Rocklands Terms and Conditions

 


A credit /debit card is required at the time of booking to secure your reservation. All bookings must be secured with a non -refundable deposit of 50% per lodge. If payment is made by Paypal the full amount is due at the time of booking.   The balance for the reservation is due 7 days prior to your stay.


The Contract –

When you make a booking and we have received the required deposit/taken a debit card number to secure the booking, a legally binding contract exists between us that is non-cancellable and non-refundable except in exceptional circumstances. You may still remain liable to pay in full or in part for the booking, even if you are unable to take your holiday. Even where you have not paid in full at the time of cancellation, you will remain liable for the full cost. If for some reason you need to cancel, it is important that you tell us at the first opportunity so we may attempt to re-let your room and minimize your loss. You should take out cancellation insurance to protect against possible loss. We will allow you to cancel your holiday up to 7 days from the due date but you will lose your deposit. Any cancellation made less than 7 days notice will be liable for the full amount.  People failing to arrive without notification may be responsible for the entire cost of the booking. Curtailment of stay – No refunds given


For Christmas and New Year Bookings the full balance of the booking is due 30 days prior to your arrival.

For group bookings where the total is more than £2000, full payment must be made 7 days prior to your arrival.

You may not advertise, use or re-sell your holiday for profit or in connection with a business or any other venture.


If you have booked with a voucher, a credit/debit card number will be taken on your arrival to insure against any breakages/theft/damage to the property during your stay.


This Agreement binds you and all of the members of your party (including day visitors). It is your responsibility to ensure that each member of your party is aware of and accepts the whole of this Agreement and the obligations contained in it. It is effective from the date our agreement is made and lasts until you and your party leave Rocklands Lodges


We may ask you and/or members of your party to leave immediately if your conduct is considered by us to infringe our rules or is likely in our belief to impair the enjoyment or comfort or safety of other guests and/or staff.  No refunds will be given in these circumstances.


We also have the right to recover from you the cost resulting from any damage to our property or that of our other guests together with any compensation we may pay to other guests as a result of the actions of you or any members of your party. Should this damage come to light after the guest has departed, we reserve the right to make a charge to the guest’s credit / debit card or send an invoice for the amount to the registered address.

The Guest shall take all reasonable and proper care of the property and its furniture, pictures, fittings and effects in or on the property and leave them in the same state of repair and condition and in the same clean and tidy condition at the end of the rental period as at the beginning. The Guest shall abide by all instructions with regard to the use of the property and its fixtures and fittings.  We have the right to charge guests for excess cleaning if the lodge is found not to be in a clean and tidy condition

 

Large Group Bookings: We no longer not accept any Single-Sex parties (no more than 4 people) at the weekend.  We will not accept the booking on arrival and the guest will be liable for the cost. This is to maintain a pleasant and enjoyable atmosphere for our guests.  Rocklands Lodges actively discourages rowdy and abusive behaviour from stag and hen party group and we also no longer accept bookings for 21st/18th birthday parties.


All cars and other vehicles you bring to Rocklands Lodges must be parked in the parking spaces allocated for each lodge and are entirely at your risk. We do not accept any liability for damage to vehicles.


Your personal belongings are your own responsibility during your holiday with us. This responsibility applies to all members of your party and their belongings.


We accept no liability whatsoever for any accident, loss or damage to your property


We reserve the right to enter your lodge at any time for any reasonable purpose, for example, to make checks or carry out essential inspection maintenance works or repairs.


You must use your lodge and its contents with care. You are responsible for any and all damage caused to them. On departure, you must leave your cabin in a clean and tidy condition. We reserve the right to charge you for any loss or damage to our property during your stay
The Children’s climbing frame, swings and slide are strictly for children under 14 only. We take no responsibility for any accidents occurring whilst using the play equipment. Children in the play area must be supervised by an adult at all times. We reserve the right to refuse entry to the play equipment if we feel they improperly used and we retain the right to charge for any damage.

Left Items

In the event that guests leave personal belongings within the premises of Rocklands Lodges the following procedures and policies will apply:

  1. Item Retrieval and Postage:

    • If you wish to have your left items posted back to you, please contact Rocklands Lodges promptly to arrange for their return.

    • Full payment for postage and packing must be made before the items are dispatched to the provided address.

  2. Unclaimed Items:

    • In the event that left items are not claimed within 14 days from the date of departure, Rocklands Lodges reserves the right to handle these items as follows:

      • Donation: Items may be donated to a charitable organization or cause.

      • Disposal: Alternatively, items may be disposed of in a responsible manner.

Please note that Rocklands Lodges will make reasonable efforts to contact the guest regarding any left items before the specified 14-day period expires. However, it is the responsibility of the guest to initiate the retrieval process and cover associated postage and packing costs.


We would only cancel your holiday if your accommodation was unavailable for any reason beyond our control. We would, however, attempt to offer you alternative accommodation. If this was not possible or unacceptable to you, we would then refund all monies paid by you for the holiday. Except in exceptional circumstances, our liability would not extend beyond this refund.


SMOKING -

PLEASE NOTE: All the lodges are strictly NON SMOKING We understand that this is inconvenient but If any evidence of smoking has been found in your lodge on departure (even leaning out of an open window does not stop the smell from contaminating the lodge for the next guest) The customer who made the booking will be liable for the extra cleaning involved and £50 will be immediately taken from the card used to make the booking. By smoking in the lodge you are causing damage and thus authorising you to charge your card.

LIABILITY – PLEASE READ THIS SECTION AS IT IS IMPORTANT THAT YOU UNDERSTAND TO WHAT YOU ARE AGREEING

Nothing in our Contract will limit our liability for any matter for which it would be illegal or unlawful for us to exclude, or attempt to exclude, our liability; or, our liability for:

  • death or personal injury caused by negligence; or

  • fraud or fraudulent misrepresentation

We are relieved from liability for any delay to, or cancellation of, your holiday and for anything which adversely affects your holiday (including the closure of any Location before or during your holiday) which occur due to events which are outside of our control (i.e. that we could not, even with due care, have foreseen or avoided). Such circumstances include (amongst others):

  • acts of God, adverse weather (floods, droughts), fire, or other natural disaster;

  • epidemic or pandemic, Covid-19 or any disease caused by a new strain of coronavirus, or significant risks to human health such as the outbreak of serious disease;

  • terrorist attack or activity, war, civil war, civil unrest, threat of or preparation for war;

  • any act, law or action taken by, or any guidance issued by, a government or other national or local public authority,

  • public health authority or other national or local authority including port or river authorities; and

  • nuclear, chemical or biological contamination or sonic boom

We will, to the extent we are able, endeavour to manage any problems caused as a result of such an event but shall not be liable to you for any losses caused by such event. Where we have cancelled your holiday prior to its commencement as a result of such an event we will offer you the choice of a full refund of all monies paid to us or the option of re-booking your holiday at a comparable standard (with you paying any additional cost or receiving a refund in respect to the price difference) or a voucher equal to monies paid for a future stay. We will contact you and will let you know of any such event, as soon as we can and we will ask you to confirm which offer you would like to accept. Please note that any refunds due can only be made by the original payment method.

Subject to the matters detailed above and below, if we fail to comply with these Terms, we are responsible for any loss or damage that you suffer as a result of our breach of these Terms or our negligence, if such loss or damage is foreseeable; but we are not responsible for any loss or damage that is not foreseeable, or for any indirect or consequential loss. Loss or damage is foreseeable if they were an obvious consequence of our breach or if they were contemplated by you and us at the time we entered into the Contract and excludes (amongst others):

  • loss of anticipated savings; and

  • loss of data or information;

We only provide use of the cabins for domestic and private use. You agree not to use the cabins for any commercial, business or re-sale purposes. Therefore we are not responsible to you for any of the following loss or damage, whether or not such loss or damage is foreseeable:

  • loss of income or revenue;

  • loss of contracts;

  • loss of business or business opportunity;

  • loss of or damage to goodwill

  • business interruption; or

  • loss of profits

Subject to the matters detailed above, in all cases our maximum liability to you for the total of all claims arising out of your booking with us shall be no more than to refund the amount paid by you for the holiday less any cancellation, insurance, amendment or other separate charges.

As our locations are set in a forest environment, we cannot accept responsibility for any damage, injury or inconvenience caused by plants or wildlife.

Reference to any products, services or other information belonging to third parties does not imply or constitute an endorsement, sponsorship or recommendation by us. Links to other services not operated by us are provided solely for your convenience. We are not responsible to you for any products, services, or other information provided by third parties.

We are not liable for damage to or theft of your personal possessions and we encourage you to ensure that you have adequate cover under your existing home contents, travel or any other applicable insurance policy for the length of your stay, especially for valuable items such as phones, cameras, bikes, jewellery and so on as well as for cancellation and accident or illness.


DOGS & PETS –

Your supplement for your pet is £25 per pet. Please keep pets off furniture and beds. Please do not leave the pet unattended. If heavy cleaning is required after you leave, a charge will be issued. Please supply your own poop bags and ensure you pick up the mess around the grounds. You can dispose of the bags in any of the outdoor bins.

 

For the hot-tub rules please make sure you read the health & safety of hot-tub use on our website &  refer to the hot tub safety document for your safety whilst using the hot tub, the document is in the information booklet in your lodge and also situated next to the hot tub.  It is your responsibility to enforce the rules of safety within the lodge's hot tub.

Wifi Service provided "as available". The Service is provided on an "as available" basis without warranties of any kind, either express or implied, that the Service will be uninterrupted or error-free, including but not limited to vagaries of weather, disruption of service, acts of God, warranties of title, non-infringement, NOR IMPLIED WARRANTIES OF MERCHANTABILITY OR FITNESS FOR A PARTICULAR PURPOSE. No advice or information given by the providers, affiliates, or contractors of the service or their respective employees shall create such a warranty.

As a family run business we have always known the value of trust, so you can be sure that we will only use your data as outlined in our Privacy Policies.
